PTO Board Meeting Minutes

March 2, 2009

Members in Attendance: Jenny Demosthenes, Melissa Traum, Jennifer Barlow, Shelly Erickson, LaNell Greenberg, Chris Nichols, Michele Sampson, DiAnn Naden, Jeff Naden, Susan Biancalana, Angela Hatfield, Lori Custev, Julie Workman, Melanie Johnson, Karl Sila, Tony Marsaglia, Nanci Grilliot, Kathy Berry, Lisa Castleman.

Jenny Demosthenes called the meeting to order at 6:33 pm.

Co-Presidents’ Report – Elizabeth Tomera is at home with a sick child. Elizabeth spoke to West and they have graciously accepted $100 for post-prom. It will go towards the insurance cost.

Treasurer’s Report - Melissa Traum reported that the assembly cost was $695, the ISAT cost yesterday was $190 and PTO donated $25 to Allison Bent’s Mother’s church.

Principal’s Report – Shelly Erickson thanked PTO for the ISAT snacks. The month ended nicely with LaNell Greenberg’s work on Black History month & the assembly was a nice way to culminate that. Mrs. Lanfey is retiring so need to make plans for that. LaNell & Shelly will talk about what to do and when. The staff will do something to recognize her and maybe have alumni come back to celebrate as well. We will plan to put something in the newsletter & newspaper. Have the reception during school as well as after maybe from 2-5 and sometime in May. We will need to plan around the talent show and rain day and those are the last week. Probably May 21st from 2-5pm. She will discuss it with Angie Stowed from hospitality. Her replacement is Cally Hudson who is currently at Kingsley and has been with district for about 11 years. It is March Madness this month and every Friday the students can use their basketball shots. The top boy and top girl from each class will then narrow it down and the Friday before break they will narrow it down until only one boy and one girl remain. Jenny will be getting signed ISU basketballs. Our Happy Feet is a visit from Miller Park Zoo. The date is March 19th. It is at 2:15, for a half-hour.

Family Fun Night Report
DiAnn Naden said that volunteer wise she has a sign up form 21 staff members to fill 24 spots It is important to have Melanie Johnson and DiAnn’s name and information, not just DiAnn’s on the information sheets. Melanie priced out at Sam’s Club for the ring pops, starburst and skittles as well as sour punch straws. Prices on all of them the ring pops are 26 cents a piece and straws 37 cents. Skittles and starburst pack were 42 cents. For the hot dogs we have all beef hot dogs or ball parks at 28 cents a piece. & the ball park were 46 cents. A week before family fun night we can place our order online and call a week ahead and have it all picked up and pay then just pay at the door. It will be the same as precious years. The fountain drinks were donated last year and the ice from McDonalds. We rented the ice coolers from McDonalds last year, 3 of them. McDonalds gives you free ice. You give them $150 a deposit and they fill them up for free. We used the one on College and the one on Market St. The hours are 6-8 this year and last year it was 5-7 so we bought more food. We bought 400 hot dogs last year and did not have much left over and the volunteers were able to have some food at the end as well. Chris Nichols felt that cans or bottles are much easier for drinks. There will be two snow cone machines. The snow cone machine operator provides the syrup. We need to talk with Sharon Burris as to when we can get into the kitchen but she mentioned by around 1:30 or so. We started the concessions at 4pm in the past and were fine. We still have a lot of foil single sheets from last year. The closet is also full of spoons, etc. We are going to skip the popcorn this year because it makes such a mess. We will be having coupons go out to the kids again for snow cones and Chris will take care of getting the food with Melissa. Susan Biancalana will get the spreadsheet to Chris for information from last years food purchases and pricing.

Committees:
Butter Braids – order forms went out last week and the delivery date is March 17 from 3-4:30pm. Orders are due by March 10th.

Spring Fundraiser
- Lisa has received the packets. They are out and the sales person was very excited to have a new contract. He can throw a pizza party for the classes and teachers. He was excited to have the business and threw in prizes. April 3rd is the Friday right before Easter and at 11 on April 3rd will be the teacher pizza party. We unload between 1-3pm and will need a place to unload and sort as well as volunteers for parents to pick up from 3-4:30pm. Everything comes in a box sorted for what each student sold.

Scrips
– Orders due this Friday. d. Hospitality – Angie’s not here.

Restaurant Fundraising
– Kathy Berry will set a Monicals night for May.

Playground
– Set up a meeting for folks interested to follow the monthly PTO meetings. We need to have a direction to plan to purchase equipment immediately or next year. We need to find out what pieces would be best, if we want swings or slides, what space we have, what the unit needs to approve and about installation. We also need to talk with Normal Parks and Rec. At Fairview they were able to negotiate a price savings and the town of Normal ordered it & saved. Chris Nichols can ask for Town of Normal to come and will talk to Gary Neihauss to see if they can send someone who has been involved before. Maybe that will provide us some insight.
Assemblies - Prairie Fire theatre will be in May and the kids loved it. DiAnn said teachers commented they liked it.

Spirit Wear
–Julie Workman is seeing if we can get tote bags, tank tops and at Select Screen prints we can do it. They can print the things we would like. Tank-tops, men’s and boys $7.50, short sleeve t-shirts & shorts $13, baseball hats $9, tote $9, women’s and girls tanks $8, cheerleading shorts at $9. Girls are allowed to wear tank tops. It’s not against the rules. At select screen prints there is $15 set-up charges. Embroidery set up is $50. The set up charges are pricier. The drawstring bags would be screen printed and would cost $10. Will send home order forms on April 8 and must turn your order in by April 17th at FFN.
