PTO Board Meeting Minutes

April 6, 2009

Members in Attendance: Elizabeth Tomera, Jenny Demosthenes, Melissa Traum, Jennifer Barlow, Shelly Erickson, LaNell Greenberg, Kathy Berry, DiAnn Naden, Tony Marsaglia, Chris Nichols, Susan Biancalana, Ward Workman, Julie Workman, Elisa Cupples, Karl Sila, Melanie Johnson

Elizabeth Tomera called the meeting to order at 6:31pm

Co-Presidents’ Report - If you will NOT be continuing with a committee chair position you are currently in let us know because we need to fill it. We need a fall fundraiser chair so please let us know if you are interested.

Treasurer’s Report - Melissa Traum reported that we made $20.41 from Meatheads.

Principal’s Report – Shelly Erickson said that the PBIS May 5th will be to see the Tale of Desperaux at the downtown Normal theatre. PBIS last fling will be a basket raffle to put the Penguin Points in for a drawing. There will be 30 or 40 baskets to raffle off. We need end of year play day volunteers. June 1st will be a school improvement day & the 2nd will be the last hour day. Play day will be sometime during the last week of May. The play day will plan to be Wednesday and then the rain day Thursday or Fri and have the talent show sandwiched in there. May 7th is pre-registration at two times, 9am and 6:30 pm. The redistricting approval will be the last week of August after the school year starts. Shelly thought the plan would be in July. The plan of the committee is to have the proposal in July and the attendance exceptions may not be under that.

Family Fun Night Report - Melanie Johnson said we have received the prizes and we spent $319.87 and Susan ordered them and we bumped up the order. DiAnn Naden reported that 113 out of 122 spots have been filled for volunteers. She needs last shift and a second person to be with Elizabeth for the face painting. Also needs one for set up and two for clean up. All is set in place as of Wednesday and notes go home Monday. The notes will have their name, shift, game and location. Chris Nichols has his spreadsheet and if we sold 142 we have covered the cost of the hot dogs plus prize candy. We wouldn’t be stuck with extras because the high school is still running concessions so we could sell it to them. A couple of years ago we ran a “Meal Deal” at FFN and we could make it a good deal at $4 and still make $470in profit. Melanie will call McDonalds to get ice from McDonalds. She will just call the McDonalds office on Commerce and then has to pay a $150 deposit and they give it right back to you. We will charge 50 cents for snow cones again this year and we have double the amount of prize candy. We could do pre-sale wrist bands at the prices of presale $8 and $10 at the door and order the bands from Oriental Trading. The letter for presales needs to go home Monday. We need to limit the cake walk so that we don’t have the same kids winning and winning. Melissa Traum will write up a letter for cake walk donations and we will have a big tote in the front to drop off donations. DiAnn will make sure volunteers will be in all of the spots. We need set up volunteers to get the boxes filled up with the prizes, check to be sure we have the laminated signs for the games and check all of the game parts and pieces. If you lose your wristband then you have to buy a new one. Melissa will take care of thank you cards and a check for the Janitor as well as a check ready for the inflatable guy. Maybe some of the students could make posters to advertise family fun night while at school? Maybe have some students meet up after school one day? Susan will let Melissa know how much change she needs to have for concessions. There also needs to be separate lines for concessions and snow cones. We have 24 tables ordered.

Committee Chair Reports

Butter Braids – sold 120, 121 $661 profit, Susan Biancalana reported.
Spring Fundraiser – still have quite a few items that needed picked up. The prize company closed so the salesman will need to use another company and get the students their prizes later.

Scrips
– Due Friday and sold 2200 in Feb. and 1100 in March with about a 15 percent profit.

Hospitality – For teacher appreciation week we will provide lunch May 6th. All week we have a theme Angie Stower said such as Teachers are SUPER so we will have soup & salad luncheon that day. In April we celebrate Heidi so Angie is going to take care of her appreciation gift. And on May 8th we will provide breakfast.

Restaurant Fundraising - Kathy Berry said that Monicals Night is set for Tues, May 12th.

Playground – meeting tonight

Assemblies – Prairie Fire Theatre is May 8th and it is the last one of the year. District 87 has a sphere assembly that looks interesting but is expensive!

Spirit Wear – Today we had order forms delivered and they will go home on Wednesday. There are samples of everything! You can order at family fun night, ON or BEFORE FFN and makes checks payable to Parkside Elementary.

The meeting adjourned at 7:32 pm with a first motion to adjourn by Kathy Berry and seconded by Melanie.
