PTO Board Meeting Minutes
October 5, 2009
Members in Attendance: Elizabeth Tomera,
Melissa Traum, Jennifer Barlow, Kathy Berry, LaNell Greenberg,
DiAnn Naden, Chris Nichols, Jamie Lunt, Lauren Kaufman, Shelly
Erickson, Julie Workman, Melissa Beaver, Karl Sila, Brian
Cupples, Laura Beal, Imogene Chase, Connie Horvath
The meeting was called to order by Elizabeth Tomera at
6:32pm.
Presidents Report - Elizabeth welcomed everyone
to the meeting and asked that everyone attending please sign the
sign-in sheet and sign up for the teachers “Welcome Back to Your
Lounge” breakfast for Friday, October 9th. She thanked all those
that helped with making the NCWHS parade float a success.
Carlock won for best float this year. PTO is still in need of a
yearbook photographer & a spring fundraiser chair. The yearbook
position involves taking photos, collecting photos taken by
others and working with the administration to assemble the
yearbook.
Treasurer Report - Melissa Traum passed out the
proposed budget numbers based on last years numbers. PTO needs
to vote and approve of it. DiAnn Naden asked if she should plan
to spend $1700 this year on Family Fun Night since that was what
the budgeted amount was although last year there was a little
over $1800 spent. The prices of inflatables and other FFN costs
have gone up. PTO will plan to spend at least $1800 and we will
look at possibly increasing the cost for attending by a marginal
amount. Also, the 5th grade field trip cost may be decreased due
to the Challenger Learning Center not being the field trip this
year due to some issues. Kathy Berry said she thought she had
been told there was some type of conflict for the 5th graders
this year. Shelly Erickson said that they are possibly looking
into a field trip to Springfield. There has been discussion
within Unit 5 about standardizing field trips but the only
current requirement is that it supports curriculum. The 5th
grade trip, if to Springfield, may be in March. Shelly will
check into it and get back to PTO. If the field trip cost is
less this would help the budget of course. Melissa also talked
to the bank where PTO has its checking account and a CD for 13
months and $5000 deposited is at 1.9%, as of mid-September.
There was discussion about doing this but after examining the
possibility that PTO may be able to purchase a part of
playground equipment it was thought best to not to do so. This
way as much funds as possible are available when the purchase is
made and the hope is that this can be done in time for
installation over the summer. Karl Sila also talked about how he
and Marianne Sila had thought about ways to get Scrips out there
more. The potential fundraising is great if every family would
just purchase about $100 a month. We could end up with as much
as $20,000 over a year’s time! Possibly have teachers or parents
be entered into a drawing if they purchase a card or cards. Or
the teacher that has the most purchases (not amount but number)
wins a card? Just some promotional thoughts and the board and
those in attendance thought it would be great. LaNell Greenberg
mentioned having competition be a great way to get people
involved and excited! If there was a way for a website to make
it easier that would be a possibility and Julie Workman
mentioned somehow utilizing facebook as well. Karl is going to
talk with Marianne and get something going. Scrips are due the
first Friday of each month and sent home or available for pick
up the next Friday, so there is only one week between purchasing
a card and getting it. If there is a real need to get it ASAP it
is often possible to get it as early as Wed of the following
week from Marianne. There is also the plan to use bright colored
paper when sending it home and possibly getting PJHS involved to
help us raise money through Scrips. The next two Scrips due
dates are Nov 6th and Dec 4th. The cards will be available to go
home or for pick up Nov. 13th and Dec. 11th. Scrips will also be
posted on the marquee as a reminder to parents.
Principal Report - Shelly Erickson said that
the move to the portables went well and that the open house was
held tonight (Oct. 5th). The old 3L room is now again the music,
art and orchestra room as well has having openings for reading
groups. She has also talked with Michelle Sampson about the
school directory. Michelle is going to send home the opt out
notice for PTO which is a great help! Red Ribbon Week will be
Oct. 19th. LaNell said that red ribbon week is celebrated each
year to tell kids to not do drugs and is brought down to a level
where the kindergarteners and other little kids can understand.
The kids wear red and the basic theme is to take good care of
yourself through exercise, making healthy choices, etc and of
course the older kids like the 5th graders understand the
message of don’t smoke or do drugs. There will be a worksheet
kids can do and win a t-shirt; there is a winner for each grade
level. There will be an exercise day again this year because
that was a huge hit last year. The gym time will be dancing to
music from the 70s & 80s and the kids dress up in work-out
clothes. It’s a really fun time! It is the same week as
parent-teacher conferences. If you have not scheduled your
conference time please call Heidi in the office to schedule.
United Way will also be coming up soon and PBIS is off to a
great start. There are way fewer referrals this year. Last
month, 91 kids bought off the cart and the water fight was a lot
of fun. The team meets next week to talk about the pumpkins for
the cart. The volunteer badges are in and can be picked up in
the office. You need a volunteer badge if you work in small
groups or something along those lines but not for helping out at
room parties
Committee Chair Reports -
Fundraising –
Fall: Alethea Morse said the fall fundraiser is
moving along. The forms are due Thursday, Oct. 8th in the office
and she will pick them up and get them tallied, etc. The
internet registration prizes are in and the extra prizes can be
used for the PBIS cart or FFN. Once she gets the totals
completed and mails in the forms the items should arrive in
about 4 weeks sorted and ready to go home. She will e-mail the
totals for who the two big winners are for the stuffed Sponge
Bob & Patrick. Orders are due Thursday, October 8th in the
office!
Spring: The Spring Fundraiser was easy last
year with everything being $5 and we still are in need of
someone to head that up. If anyone is interested in heading it
up or would know of someone who would like to please contact the
PTO board.
Winter/Christmas: Shelly said that we shouldn’t
throw too many things, as far as fundraising goes, at people.
The winter/Christmas fundraiser is not going to happen. However,
Innisbrook will be used for the fall fundraiser next year and
headed up by Melissa Traum and Jennifer Barlow. Jennifer is
going to contact the rep this week. Shelly said that would be
fine (following the meeting).
Other: Melissa Beaver mentioned a babysitting
night as a fundraiser. The date for this is Saturday, December
12th from either 9am-12pm or 1pm-4pm. The price will be around
$10 per child, $5 for each additional child. The children must
be Parkside Elementary students and no siblings unless they too
are Parkside Elementary students. All of the details still need
to be worked out yet. Possibly we could offer Scrip card pick-up
when you drop your student off to be babysat and then use the
Scrip cards you purchased to Christmas shop. There will probably
be a charge of $1 for every minute a parent is late picking up
their child. This is also the Parks and Rec policy and seems
like a good one.
Spirit Wear – Julie Workman said that spirit
wear orders are due Friday, October 9th. Jennifer Barlow will
pick them up Friday afternoon and drop it off to Julie. Julie
will get the checks to Melissa on Sunday. There will be another
spirit wear sale before Christmas so parents can purchase items
for gifts.
Scrips – Karl Sila reported that over the past
months we made $300 total so far this year.
Hospitality-Assemblies – The welcome back to
the lounge breakfast is Friday.
Restaurant – Kathy Berry said that Culvers no
longer requires volunteers for fundraising, you only need a
coupon now! We need to pick a date and do the flier. They also
offer fundraising cakes but figured that it was better to go
with the dining coupon. PTO agreed. The cakes would also compete
with butter braids possibly so not a good idea. Culvers has some
dates available in October. PTO set the date for Tuesday,
October 27th. The date will be put up on the marquee. All of the
restaurant dates will be advertised on the marquee. The Culvers
fundraising day is all day long you just need the coupon for
Parkside to get the credit. Kathy is still working with Noodles
to set a date for November. Avanti’s is also offering
fundraising now! The dates available are Jan 18, Jan 25, Feb 22
and March 15. March 15th is the date PTO chose. The fundraising
works for delivery, dine-in and carry-out. Kathy also talked
with Carl’s Ice Cream and they seemed interested and will be
getting back to her. Jamie Lunt mentioned looking into Coldstone
because they offered fundraising in Champaign. Connie Horvath
said that Moe’s does fundraising as well and Chili’s was also
mentioned. Kathy is going to look into those and get back to
PTO. Tuesday, April 6th is set for Monicals.
Playground – There is a meeting set for Monday,
Oct. 19th at 6:30 pm to choose what needs to be purchased.
Butter Braids – Will be before Thanksgiving as
in past years.
CAC – Melissa Beaver reported that they have
broken into small groups. She is working with others on
information security over the internet such as facebook,
twitter, my space, sexting, etc. November is the next large
group meeting but small groups will be meeting in the meantime.
New Business – Hand Sanitizers are in the lunch
room!
Adjourn – Motion to adjourn by Kathy Berry at 7:34pm and
seconded by Chris Nichols.
